Please read these Terms before using MailProud. By creating an account, placing an order, or using the service, you agree to these Terms and our Privacy Policy. If you use MailProud for a business or organization, you represent that you have authority to accept these Terms for it.

1. Agreement and eligibility

You must be at least 18 years old and legally able to enter into a contract. You must provide accurate account and billing information and keep it current. Any plan description, order form, or checkout page that you accept is part of this agreement. If a plan-specific term conflicts with these Terms, the plan-specific term controls for that order.

2. What MailProud provides

MailProud helps you use branded email addresses on a domain you own or are authorized to use. We provide the configuration, connection, technical care, and support included in your selected plan.

MailProud Lite receives messages sent to your branded addresses and routes them to the personal inbox you designate. Lite does not include a hosted mailbox for reading, storing, or sending messages.

MailProud Pro includes a hosted business inbox that can receive, store, and send messages. You may access that inbox through the supported webmail interface or compatible email clients. Storage, sending, domain, address, and other limits are determined by your plan.

The current features, limits, billing terms, and price for your service are shown on the plan or checkout page when you order. Domain registration and renewal fees are separate unless expressly included in your order.

We use established third-party infrastructure providers to perform parts of the service. We may update the methods, providers, or technical implementation we use, provided that we continue to deliver substantially the same core function of your selected plan.

3. Your responsibilities

You are responsible for:

  • owning, controlling, or having permission to use each domain and branded address connected to the service;
  • maintaining your domain registration, DNS access, and, for Lite, your destination inbox in good standing;
  • providing accurate configuration information and completing requested verification, authorization, and forwarding opt-in steps;
  • protecting your MailProud, mailbox, destination-inbox, recovery, and device credentials;
  • keeping independent copies of messages or other information that you cannot afford to lose;
  • reviewing account notices and promptly telling us about suspected unauthorized access, abuse, or incorrect configuration; and
  • the content you transmit, the recipients you contact, and compliance with laws that apply to your business and communications.

Do not send us passwords, recovery codes, full payment-card information, or message content unless we specifically request information necessary to investigate a support issue.

4. Acceptable use

MailProud is designed for ordinary person-to-person business correspondence. It is not a bulk-email marketing, mailing-list, or automated high-volume campaign service.

You may not use MailProud to:

  • send spam, junk mail, unsolicited bulk messages, or substantially similar messages to recipients who have not agreed to receive them;
  • use purchased, rented, scraped, or otherwise improperly obtained recipient lists;
  • send unlawful, deceptive, fraudulent, threatening, abusive, harassing, obscene, or pornographic content;
  • impersonate another person or business, forge headers, conceal a message’s origin, or use a domain or content without authorization;
  • distribute malware, viruses, phishing content, or material that infringes another party’s privacy, intellectual-property, or other rights;
  • operate an open relay, interfere with the service, test for vulnerabilities without written authorization, or impose an unreasonable load on the service;
  • circumvent security controls, sending limits, filters, suspensions, or other technical restrictions; or
  • help another person do any of the above.

You must also comply with the OpenSRS Email Acceptable Use Policy, as updated from time to time, which is incorporated into these Terms by reference. Sending limits may begin below the published plan maximum and increase over time. We may adjust or enforce limits when reasonably necessary to protect users, delivery reputation, or infrastructure.

If you send permitted commercial email, you are responsible for accurate sender information, truthful subject lines, required disclosures and contact information, a working opt-out method, and timely compliance with opt-out requests.

5. Domains, inboxes, and third-party services

Your domain registrar, DNS provider, Lite destination-inbox provider, payment processor, and email-infrastructure providers are independent services governed by their own terms and privacy practices. You authorize MailProud and its providers to process the configuration information, messages, metadata, and permissions reasonably necessary to provide, secure, maintain, and support your service, as further described in our Privacy Policy and Subprocessors page.

A third-party provider may filter, delay, reject, limit, quarantine, or suspend activity under its security, abuse-prevention, or operational policies. We are not responsible for a third party’s separate product, account decision, outage, security failure, policy, or change in functionality. We will use reasonable efforts to identify and address problems affecting the parts of your service that we manage.

6. Subscriptions, fees, and taxes

Prices, plan limits, billing frequency, and any promotional terms are shown before you order. Monthly subscriptions renew monthly, and yearly subscriptions are charged for the full annual billing period and renew yearly, unless stated otherwise at checkout or canceled before the next renewal. You authorize us and our payment processor to charge the payment method on file for recurring fees and applicable taxes.

MailProud will not charge fees beyond those disclosed at checkout or agreed to by you in advance. Any work outside your plan requires your approval before additional fees are charged. Fees charged by domain registrars, connected inbox providers, or other third-party services are separate unless expressly included in your order.

We may change prices or plan terms prospectively. If a change affects an existing paid subscription, we will give advance notice and explain when it takes effect. If we cannot collect a required payment, we may restrict or suspend the service. The first failed required renewal payment starts a fixed 10-calendar-day payment-recovery period. Later retry attempts do not extend that period. We will send the exact recovery deadline and payment instructions to your Primary Email. If payment is not completed by that deadline, your subscription ends permanently and its services are closed.

Except where required by law or expressly stated at checkout, fees already paid for a billing period are not refundable or prorated.

7. Cancellation

You may cancel at any time using the cancellation option made available in your account or by contacting us. Cancellation stops the next renewal. Your service remains active through the end of the billing period you already paid for unless we tell you otherwise or you request immediate closure.

After service ends, branded addresses configured through MailProud may stop working unless you arrange another service. For Lite, your destination inbox remains with its provider and is not canceled by MailProud. For Pro, access to the hosted inbox ends when the service ends. After that time, sign-in and all other inbox operations are unavailable, including reading, sending, exporting, or backing up messages or other data. You are responsible for exporting or backing up anything you want to retain before closure. When a Pro service closes, its active hosted mailbox and mailbox data are permanently deleted through our provider lifecycle and cannot be recovered through MailProud. Residual copies may remain temporarily in restricted backups or records that must be retained by law, as described in our Privacy Policy, but they are not available as a customer recovery copy.

8. Email delivery and service availability

We use reasonable efforts to provide and maintain the service, but email delivery depends on many systems outside our control, including DNS, domain status, sender reputation, recipient filters, networks, inbox providers, and recipient servers.

We do not guarantee uninterrupted service, delivery or preservation of every message, a particular delivery time, or placement in a recipient’s inbox rather than a spam, quarantine, or filtering folder.

Messages may be delayed, retried, filtered, rejected, quarantined, or returned. Maintenance, security events, provider incidents, or circumstances beyond reasonable control may temporarily affect the service. When practical, we will communicate material incidents and work to restore the parts we control.

9. Suspension and termination

We or our infrastructure providers may restrict or suspend a mailbox, domain, feature, or account when reasonably necessary to address nonpayment, unauthorized use, compromised credentials, a security risk, unlawful activity, abuse, harm to users or infrastructure, excessive usage, or a material breach of these Terms or an applicable provider policy.

We may act without advance notice when prompt action is reasonably necessary to protect the service or others. When circumstances permit, we will provide notice and an opportunity to correct the issue. During payment recovery, the notice identifies the final payment deadline and explains that an unpaid Pro Inbox and its data will be permanently deleted after the subscription ends. Reinstatement is not guaranteed, and a subscription ended for nonpayment cannot be resumed.

You or MailProud may terminate this agreement as permitted by these Terms. Sections that by their nature should continue after termination, including payment obligations, intellectual property, disclaimers, liability limits, indemnification, and general terms, will survive.

10. Intellectual property and feedback

MailProud and its licensors retain all rights in the website, service, software, designs, trademarks, and documentation. These Terms give you a limited, non-exclusive, non-transferable right to use the service during your subscription for your internal business purposes.

You retain rights in your business name, domain, content, and other materials you provide. You give us permission to use those materials only as reasonably necessary to provide, secure, support, and improve the service. If you voluntarily provide feedback, we may use it without restriction or payment, but we will not identify you publicly without permission.

11. Disclaimers

To the maximum extent permitted by law, the service is provided “as is” and “as available.” MailProud disclaims implied warranties of merchantability, fitness for a particular purpose, title, and non-infringement. We do not warrant that the service will be error-free or meet every technical, legal, regulatory, or business requirement.

Nothing in these Terms excludes a warranty or right that cannot lawfully be excluded.

12. Limitation of liability and indemnification

To the maximum extent permitted by law, MailProud will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, revenue, goodwill, data, messages, or business opportunity arising from or related to the service.

To the maximum extent permitted by law, MailProud’s total aggregate liability arising from or related to the service will not exceed the fees you paid for one monthly billing period of the affected service. This is a combined limit for all claims arising from the same or related events, regardless of the legal theory asserted. These limits do not apply where liability cannot lawfully be limited.

To the maximum extent permitted by law, you will defend, indemnify, and hold harmless MailProud, its affiliates, personnel, contractors, and service providers from third-party claims, proceedings, losses, penalties, damages, judgments, and reasonable costs and legal fees arising from or related to:

  • your messages, content, recipient lists, domain, or use of the service;
  • your violation of these Terms, an applicable acceptable-use policy, or applicable law;
  • your infringement or violation of another person’s rights; or
  • abuse, unauthorized use, or security incidents caused by your acts, omissions, credentials, users, or systems.

Your indemnification obligations include reasonable charges imposed on MailProud by an infrastructure provider because of activity attributable to you. The liability cap above does not apply to your obligations under this paragraph. You are not responsible under this paragraph to the extent a claim was caused by MailProud’s own unlawful conduct, gross negligence, or willful misconduct.

13. General terms

These Terms, the Privacy Policy, and any applicable order, plan terms, and acceptable-use policies are the entire agreement about the service and replace prior discussions about it. If one provision is unenforceable, the remaining provisions stay in effect. A delay in enforcing a provision is not a waiver.

Neither party is liable for delay or failure caused by circumstances beyond its reasonable control, except for payment obligations. You may not assign this agreement without our written consent. We may assign it as part of a reorganization, financing, merger, acquisition, or transfer of the service, subject to applicable law.

We may update these Terms to reflect changes in the service, provider requirements, law, or business operations. We will post the revised Terms and update the effective date. If a material change affects an existing paid service, we will provide reasonable advance notice when required. Continuing to use the service after the effective date means you accept the revised Terms.

14. Registration, invitations, and promotions

Creating a MailProud account expresses interest in the service but does not create a paid subscription, charge a payment method, activate email service, guarantee access or a particular launch date, or require you to purchase. We may invite businesses to onboarding gradually based on service readiness and capacity.

An eligible User may receive a Promotion Grant under the terms shown when the offer is made. The applicable offer terms control its eligibility, discount, duration, redemption period, and permitted billing cycle. Promotions have no cash value, are not transferable, and do not combine unless we state otherwise. We may withhold or cancel a Promotion Grant obtained through inaccurate information, duplicate accounts, fraud, abuse, or technical error.

By creating an account, you authorize us to send messages needed to verify and administer it, deliver an onboarding invitation, and explain how to claim any applicable offer. We may also send occasional MailProud updates and offers. You may opt out of marketing emails at any time without affecting necessary account or service communications.

15. Contact

Questions about these Terms or formal notices may be sent through our Contact page. Please identify the nature of the request so it can be routed correctly.
